What it is

The NGO directory is your company's list of partners. For each NGO you record its details, contact person, areas of work and verification status, and then its registrations: District Administration Office registration (renewed every year), Social Welfare Council affiliation, PAN (9 digits) and tax exemption certificate, each with its number, validity date where it has one, and a copy of the certificate.

CSR money should go to government, community or non-profit organisations, and checking these registrations protects your company. CorpHands does not block payments for missing registrations, but it alerts you before one expires, and a funding request can only be approved for an NGO you have marked verified. CorpHands helps you keep records; it does not check registrations with the District Administration Office, the Social Welfare Council or the Inland Revenue Department for you and is not legal advice.

What you can use it for

  • Record each NGO's District Administration Office registration, Social Welfare Council affiliation, PAN and tax exemption certificate.
  • See which registrations have expired or expire soon, such as the yearly District Administration Office renewal, and email the list to the CSR admins.
  • Store the agreement, audited accounts and other documents, each with its own expiry date.
  • Choose the NGO on a CSR programme, for the CSR statement and the Nepal report pack.
  • See the activities and recorded spending for each NGO on one page.
  • Invite NGO staff to the partner portal to confirm attendance, upload photo proof and sign off activities.

How to do it

Add an NGO

  1. Open NGO partnersGo to CSR workspace → NGO partners and click + Add NGO.
  2. Enter the detailsFill in the NGO's name, contact person, email and phone, and tick the Areas of work. Click Save.
  3. Set the verificationLeave it as Pending verification for now. Mark it Verified only after checking the registration certificate, its latest renewal and the audit report. Use Government body for government entities.

Record its registrations

  1. Open the Registrations cardAfter saving, the NGO's page opens. The Registrations card lists the District Administration Office registration, Social Welfare Council affiliation, PAN and tax exemption certificate.
  2. Add each registrationClick + Add, enter the number, the Valid until date where it applies, and upload the certificate. CorpHands checks that a PAN has 9 digits.
  3. Confirm the originalTick I've checked the original certificate once you have seen it. The card then shows the date it was checked.

Invite NGO staff to the partner portal

  3. Manage accessUse Resend link or Deactivate when staff change.

Tips and good practice

  • When the list shows an alert, click Email me the list to send the expiring and expired registrations to all CSR admins.
  • District Administration Office registrations and tax exemption certificates are renewed every year. Ask each NGO for the renewed certificates and its latest audited accounts at the start of the fiscal year.
  • NGOs created from a funding request start as Pending verification. Check their registrations before approving money.
  • Rules on Social Welfare Council affiliation are expected to change under a new NGO law. Record what each NGO has today and update it when the rules change.
  • On Starter, the directory holds up to 10 NGOs, including those added from requests. Business and Enterprise have no limit.

Questions

Does CorpHands verify registrations with the District Administration Office or the Social Welfare Council?

No. You check the original certificates and record the result. CorpHands tracks the dates and warns you before they expire.

Does CorpHands block payments to an NGO without these registrations?

No. CorpHands records them without blocking payments. The CSR fund page warns you about payments to organisations not marked as verified.

Why can't we approve a funding request?

The linked NGO is not marked verified, or its registration has expired. Check the NGO, record the renewed certificate and mark it verified.

Can a partner portal user see other NGOs?

No. Each partner user belongs to one NGO and only sees activities your company runs with that NGO.
