What it is

The NGO directory is your company's list of approved partners and implementing agencies. For each NGO you record its details, contact person, areas of work and verification status, and then its registrations: CSR-1 registration number, PAN, 12A / 12AB, 80G, NGO Darpan ID and FCRA, each with its number, validity date and a copy of the certificate.

CSR-1, PAN and 12A/12AB are required before an NGO can receive CSR money. CorpHands checks the format of CSR-1 numbers (CSR followed by 8 digits) and PANs, alerts you before a certificate expires, and blocks payments and request approvals while a required registration is missing or expired. CorpHands helps you keep records; it does not check registrations with the MCA or the Income Tax Department for you and is not legal advice.

What you can use it for

  • Record each NGO's CSR-1 number, PAN, 12A/12AB and 80G, and where relevant its NGO Darpan ID and FCRA registration.
  • See which registrations have expired or expire soon, and email the list to the CSR admins.
  • Store the MoU, agreements and other documents, each with its own expiry date.
  • Choose the NGO as the implementing agency on a CSR project, for the annual CSR report and Form CSR-2.
  • See the activities and recorded spending for each NGO on one page.
  • Invite NGO staff to the partner portal to confirm attendance, upload photo proof and sign off activities.

How to do it

Add an NGO

  1. Open NGO partnersGo to CSR workspace → NGO partners and click + Add NGO.
  2. Enter the detailsFill in the NGO's name, contact person, email and phone, and tick the Areas of work. Click Save.
  3. Set the verificationLeave it as Pending verification for now. Mark it Verified only after checking the original CSR-1, 12A/12AB and 80G certificates. Use Government body for government entities.

Record its registrations

  1. Open the Registrations cardAfter saving, the NGO's page opens. The Registrations card lists CSR-1, PAN, 12A/12AB, 80G, NGO Darpan and FCRA. Required ones are marked *.
  2. Add each registrationClick + Add, enter the number (the format is shown under the field), the Valid until date where it applies, and upload the certificate.
  3. Confirm the originalTick I've checked the original certificate once you have seen it. The card then shows the date it was checked.

Invite NGO staff to the partner portal

  1. Find the panelOn the NGO's page, scroll to Partner portal users.
  2. Add the personEnter their Name and Email and click Add and invite. They receive a sign-in link by email; there is no password.
  3. Manage accessUse Resend link or Deactivate when staff change.

Tips and good practice

  • When the list shows an alert, click Email me the list to send the expiring and expired registrations to all CSR admins.
  • A 12A/12AB or 80G approval has a validity period. Ask the NGO for the renewed certificate before the date, so payments are not blocked.
  • NGOs created from a funding request start as Pending verification. Add their registrations before approving money.
  • FCRA matters only if your company counts as a foreign source under FCRA. Ask your legal team.
  • On Starter, the directory holds up to 10 NGOs, including those added from requests. Business and Enterprise have no limit.

Questions

Does CorpHands verify registrations with the MCA or the Income Tax Department?

No. You check the original certificates and record the result. CorpHands checks the number formats, tracks the dates and warns you.

Why can't we pay an NGO?

One of its required registrations (CSR-1, PAN or 12A/12AB) is missing or expired. Record the missing or renewed certificate on the NGO's page and the block lifts.

What does Government body mean?

Use it for government entities. They have no registration check and can receive approved requests.

Can a partner portal user see other NGOs?

No. Each partner user belongs to one NGO and only sees activities your company runs with that NGO.
