What it is
Volunteer hours reach «CorpHands» in three ways: an employee scans the QR code at an activity, an employee reports volunteering they did elsewhere under My hours, or the CSR team marks people as attended. Only approved hours count in dashboards, leaderboards and reports, so this screen is where your numbers become reliable.
Each row shows the employee, activity, date, hours and evidence: the source, any uploaded file (for example a photo or a letter from the NGO), and location checks. That gives you, and any auditor later, a clear reason behind every approved hour.
What you can use it for
- Approve a batch of QR check-ins after a large activity in one click.
- Check a self-reported entry against the attached NGO letter or photo before approving.
- Spot check-ins made far from the venue with the Location not verified label and its distance.
- Reject an entry with a clear reason, which the employee receives by email.
- Look back at decisions from the Last 90 days tab.
How to do it
Approve hours
- Open the queueGo to CSR workspace → Hours approvals. The Waiting tab shows a count.
- FilterSearch by employee, or filter by Source (QR check-in, Self-reported, Added by CSR team) and department, then click Search.
- Check the evidenceRead the Evidence column. Click Open file to view an uploaded photo or letter. Look at the location labels.
- ApproveClick Approve on one row, or tick several rows and click Approve selected.
Reject hours
- Start the rejectionClick Reject on the row.
- Give a reasonWrite the Reason. Explain what evidence would help, because the employee receives it by email.
- ConfirmClick Reject. The employee can submit the hours again with more evidence.
Tips and good practice
- Understand the location labels. Location verified ✓ means a QR check-in was inside the activity's radius. For photos, «CorpHands» reads the photo's own location data and shows Photo location matches activity, Photo taken elsewhere or No location in photo. Treat these as signals, not proof.
- Partner confirmation is separate. When NGO staff confirm attendance in the partner portal, the activity's Impact & partner verification panel shows Attendance confirmed by the partner. It does not create or approve hours, so use it as extra evidence.
- If you trust your QR process, turn on Approve QR check-ins automatically in Settings → Policies. Self-reported hours still come here.
- Clear the queue before month-end and before you build your ESG report.
Questions
Do hours marked attended on the activity page come here?
No. Mark attended on the activity page approves the hours straight away. They appear in the history with the source Added by CSR team.
Which hours can a coordinator approve?
Only hours from people or activities within their scope (brand, country or department).
Can an auditor approve hours?
No. Auditors can view this page but cannot approve or reject.
Is evidence required for self-reported hours?
No, it is optional for the employee. You decide whether an entry has enough evidence to approve.
