What it is
On the day of an activity, the organiser shows a QR code on a laptop, tablet or phone. You scan it with your phone camera, confirm, and your hours are recorded against the activity. No paper sign-in sheets and no typing up afterwards.
The code changes every two minutes, so a photo of it shared in a group chat stops working. Check-in is open from one hour before the start until three hours after the end.
If the CSR team added a map location to the activity, CorpHands can also check that you are near the venue. It asks your permission first, and your check-in still counts if you say no.
What you can use it for
- Record attendance at a beach clean-up, food drive or school visit in seconds
- Credit the right number of hours automatically for each activity
- Give the CSR team and auditors evidence that people were really there
- Check in with the 6-character code when the camera doesn't work
- Approve check-ins automatically, or review each one before it counts
How to do it
Show the QR code (CSR admin or coordinator)
- Add a location (optional)When you create or edit the activity, fill in Map location (optional): Latitude, Longitude and Check-in radius (metres), or tap Use my current location while at the venue. The radius defaults to 500 m.
- Open the QR screenGo to CSR workspace → Activities, open the activity and choose Check-in QR screen.
- Keep it on displayLeave the screen open. It refreshes by itself and shows the current 6-character code under the QR.
Check in (employee)
- ScanOpen your phone camera and scan the QR code. The activity opens in CorpHands.
- Allow location or skipYour browser may ask to share your location once. Allow it to have your check-in marked as location-verified, or decline; you are still checked in.
- ConfirmTap Confirm check-in. You see You're checked in and the hours recorded.
- No camera?Go to Check in, type the code under Enter the code instead and tap Check in.
Approve the hours (CSR team)
- Choose the policyIn Settings, Approve QR check-ins automatically credits hours at once. If it is off, check-ins wait for review.
- ReviewOpen Hours approvals. QR check-ins show Location verified ✓ or Location not verified when a location was compared.
- DecideSelect rows and tap Approve selected, or reject with a reason; the employee is told why by email.
Tips and good practice
- Set the activity location before the day. Without it, CorpHands cannot mark check-ins as verified.
- Use a larger radius for big outdoor sites such as beaches or parks.
- Only approved hours count in dashboards, leaderboards and reports.
- Someone forgot their phone? Open the activity and use Mark attended; this credits their hours straight away.
Questions
Who can see my location?
It is stored with that one check-in. Only the CSR team and auditors can see it, rounded. CorpHands does not track you at any other time.
What if I decline location?
Your check-in still counts. It is simply not marked as location-verified.
The code says it isn't valid. Why?
It has probably changed. Ask the organiser to show the current code, or check you are within the check-in window.
Can I check in twice?
No. Each person is recorded once per activity.
