What it is
CorpHands records community work, not people's lives. It asks for consent where personal information is shared beyond the CSR team, and it shows people's details only to the roles that need them.
This matters in the Gulf, where data-protection laws are developing quickly and charity rules in some countries restrict publishing images of beneficiaries. CorpHands gives you the records; your legal team decides what your policy requires. CorpHands does not give legal advice.
What you can use it for
- Leaderboard opt-in: names appear on the colleagues leaderboard only for people who opt in. The company setting Show employees on leaderboards by default is off unless you turn it on, and each employee can change Show my name on the colleagues leaderboard in Profile at any time.
- Location at check-in: when an employee scans an activity's QR code, CorpHands explains why and asks the browser for their location once. They can decline and the check-in still counts.
- Who sees locations: only owners, CSR admins and auditors, rounded to about 110 metres. CorpHands uses it to mark the check-in as Location verified when it is within the activity's radius.
- Photo consent: every photo has a status: Approved for public use, Internal use only, Consent missing or Consent requested. Photos showing beneficiaries stay blurred and internal until consent is recorded.
- Request consent: email the charity from the photo to ask whether the people shown, or their guardians, agree to publication.
- Sponsorship requests: applicants tick a confirmation that your company may store their details to review the request.
- WhatsApp consent: employees receive WhatsApp messages only after they add a phone number and tick the consent in Profile; changing the number clears the consent.
- Anonymous surveys: anonymous survey answers can't be linked to a person, and results appear only after the survey closes and at least three people answered.
- Photo review: photos from employees and charity partners wait for CSR review; beneficiary photos stay hidden until consent is recorded.
How to do it
Set your leaderboard default
- Open SettingsGo to CSR workspace → Settings → Policies.
- Choose the defaultTick or untick Show employees on leaderboards by default and save. This applies to people invited from now on; employees can always change it for themselves.
Record consent for a photo
- Open the photoGo to CSR workspace → Photos and select Details and consent on the photo.
- Request or record consentSelect Request consent to email the charity, or, once you have it, fill in Consent record: who gave consent, when and how.
- Change the statusSet Consent status to Approved for public use. CorpHands asks for the consent record first for photos of beneficiaries.
Tips and good practice
- CorpHands never tracks location continuously. It asks once, at a QR check-in, and stores the result with that check-in only.
- For self-reported hours with a photo as evidence, CorpHands reads the photo's own location and date (if the phone saved them) to show reviewers whether it matches the activity.
- Photos uploaded by a charity through the partner portal that show beneficiaries start as Consent missing.
- There are no automatic data-retention settings in the workspace today. Deactivate leavers, and use Request account deletion (owners only) when you close your account.
Questions
Can an employee hide from leaderboards after joining?
Yes. In Profile, they untick Show my name on the colleagues leaderboard. Department figures still count their hours, without their name.
What if an employee refuses to share location?
Their check-in still counts. It is simply not marked as location-verified, and your team can review it like any other check-in.
Can we delete one person's data?
Deactivate them so they cannot sign in. For full deletion of personal data, contact CorpHands; there is no self-service delete button for a single person today.
Does CorpHands handle donations or payment details?
No. Donations never pass through CorpHands, and it never stores card numbers or bank details. Your company pays charities directly.
Do employees choose how they appear to colleagues?
Yes. On the leaderboard each person chooses hidden, their name or an alias. Hidden is the default unless your company changes it.
