What it is

An activity is one volunteering event: a beach clean-up, a blood donation day, a visit to a care home. You set the date, place, charity partner, number of volunteers needed and the hours each attendee earns. When you publish, employees can sign up in the employee app, and you can email everyone about it.

Each activity also has a logistics checklist, an optional map location for verifying QR check-ins, a sign-up list where you mark attendance, and a section for recording impact after the event. Everything an organiser needs sits on one page.

What you can use it for

  • Start from a template: Ramadan iftar box packing, National Day community breakfast, School bag packing, Beach clean-up, Blood donation day or Elderly care home visit.
  • Cap places with Volunteers needed; extra sign-ups join a waitlist automatically.
  • Keep track of transport, T-shirts, safety briefing, waiver forms, food and water, and photo consent with the logistics checklist.
  • Set a map location and radius so QR check-ins made on site are marked Location verified.
  • Duplicate a successful activity as a draft for next week or next year.
  • Announce a new activity to employees by email and WhatsApp in one step.

How to do it

Create an activity

  1. StartGo to CSR workspace → Activities and click + New activity. Optionally pick a card under Start from a template to prefill the name, description, category, hours and places.
  2. Fill in the detailsEnter Activity name (and Name in Arabic), Category, Charity partner, Campaign, Location, Starts and Ends (Kuwait time), Hours per volunteer, Volunteers needed and Expected impact. Tick Skills-based (pro bono) activity if it applies.
  3. Set the map location (optional)Under Map location (optional), type the latitude and longitude or click Use my current location, and set the Check-in radius (metres). The default is 500 m.
  4. Choose logistics itemsUnder Logistics checklist, keep the items you need.
  5. Publish or save a draftChoose Publish now or Save as draft, keep Notify all employees by email ticked if you want an announcement, and click Create activity.

Announce it to employees

  1. Open the activityAfter publishing, open the activity and find Announce to employees.
  2. Choose channels and audienceTick Email, WhatsApp or both, and choose Everyone in the company or Only people in this activity's brand and country. WhatsApp goes only to people who added a phone number and agreed to receive messages.
  3. SendSelect Send announcement. The panel shows when it was last sent and how many messages went out. Sending again within 24 hours needs an extra tick, so people aren't messaged twice by mistake.

Run the day

  1. Tick off logisticsOn the activity page, tick each checklist item as it is done, or Add a checklist item.
  2. Show the QR codeClick Check-in QR screen and show it on a screen or tablet. The code refreshes regularly so it can't be shared in advance.
  3. Mark attendanceAfter the start time, select people in the sign-up list and click Mark attended or Mark did not attend. Marking attended credits their hours straight away.

Close the activity

  1. Record impactIn Impact after the activity, enter People helped and Impact notes, tick Mark activity as completed and click Save.
  2. Ask the charity to confirm (optional)In Impact & partner verification, click Send to partner for confirmation. This needs partner portal users on the charity's page.

Tips and good practice

  • Pick a verified charity. Charities that are not verified or whose licence has expired are labelled in the list, and the activity page shows a warning.
  • Use Export sign-ups (CSV) for transport lists or venue security.
  • Duplicate creates a draft about a week later than the original. Check the date before you publish.
  • If you cancel, add a reason under Cancel activity. Everyone who signed up is emailed.
  • Registered people get automatic reminders the day before and on the morning of the activity, so you don't need to remind them yourself.

Questions

Do employees need to share their location to check in?

No. The map location is optional. When an employee's phone shares its location, the check-in is marked verified or not verified against your radius (plus the phone's accuracy, up to 200 m).

Can coordinators create activities?

Yes. Activities a coordinator creates always stay in their brand or country scope.

Why don't I see Brand and Country fields?

Brands and multiple countries are part of the Enterprise plan.

Can I edit a cancelled activity?

No. Cancelled activities are read-only. Duplicate it instead.
